Payment & cancellation

These conditions apply to quotations and purchases. Cancellation eligibility and any refund depend on the agreed terms, fulfilment status and costs already incurred.

Requests, quotations and payment

The personal form collects your preferred dates, service and budget. A JPY 1,000 reservation fee is required for personal reservations; Stripe shows the final charge currency. The service fee is quoted separately based on your budget and agreed scope. Business enquiries do not collect payment online; their scope and payment terms are agreed separately.

Service fees are quoted separately in the quotation. Applicable Japanese consumption tax and any customer-borne expenses are itemised and accepted before they are incurred.

Reservation fee for personal reservations

The personal form charges a JPY 1,000 reservation fee to record your reservation request. The fee is separate from the service fee and is not a deposit toward the service total. Service availability, scope and the final service fee are agreed in a quotation.

The secure payment session lasts up to one hour. A successful payment records your reservation request and starts the confirmation email and calendar synchronisation. The service fee is not charged by this payment.

If JPXGO cannot provide the requested service, amounts paid to JPXGO for that unprovided service, including the reservation fee, are refunded without a cancellation deduction. The reservation fee is non-refundable for a customer cancellation after the request is reviewed, except where applicable law requires otherwise.

Purchases with immediate checkout follow the payment terms displayed before payment. Website currency conversions are estimates; the checkout shows the final currency, exchange rate and any conversion cost.

Cancellation before completion

A request can be withdrawn without a service cancellation charge only while no service fee has been agreed and no chargeable work or non-recoverable cost has arisen. The reservation fee is separate and is addressed above. Early cancellation does not by itself make a confirmed service cancellation free once such costs arise.

For personal bookings and agreed service quotations, the following service cancellation fee applies. Days are counted by calendar date in Japan from receipt of your cancellation request to the first agreed service date. The costs described below are considered separately.

• 7 days or more before the service: no JPXGO service cancellation fee, but applicable non-recoverable costs may still be deducted.
• Less than 7 days before the service, including a no-show: the JPXGO service cancellation fee is capped at 10% of the agreed service fee, subject to the legal limits below. The reservation fee is separate from any service cancellation fee.

For other purchases, any cancellation conditions must be shown and accepted before payment. There is no blanket percentage deduction based only on the purchase category.

Costs and refund calculation

For cancellation at your request, customer-borne costs may include payment processing or currency-conversion fees not returned by the provider, actual refund or transfer fees, and agreed non-recoverable third-party charges. A fee is not assumed to exist for every payment method.

We charge only costs actually incurred, disclosed and accepted in advance, and lawfully chargeable. We explain each amount or calculation, do not count the same cost twice, and apply legal limits to the total cancellation-related charges, including applicable average-loss limits. Booking restrictions are not converted into an arbitrary monetary penalty.

The refund is the amount received less the agreed value already provided and permitted cancellation fees and costs. If no refundable balance remains, we explain the calculation. Any amount claimed beyond payments already received must have a separate contractual and lawful basis; no automatic additional charge is made.

Completed and partly completed orders

Cancellation for a change of mind does not apply to products or services whose agreed delivery or performance is complete. For partly completed orders, only the unprovided portion is reviewed, with completed work and incurred costs itemised. Rights relating to defects, non-delivery, JPXGO's fault or statutory cancellation remain unaffected.

Booking changes and prevention of abuse

Changes to dates, people, hours or scope require availability checks and agreement to any added cost before changes are made. If no replacement arrangement is agreed, the cancellation terms apply. If JPXGO cancels before providing the service, you may accept an alternative or receive a full refund of amounts paid to JPXGO for that service, without a cancellation deduction.

Repeated speculative bookings, cancellations intended to create costs, false details and attempts to evade limits may lead to additional verification, manual review or refusal of new requests. Personal-request dates are released only after review; after release, new personal requests from the same booker are restricted for 48 hours.

A cancellation without a charge does not waive booking controls. These controls do not prevent you from submitting a cancellation request or exercising a lawful refund right. Other purchases remain subject to their own acceptance conditions.

How to cancel and receive a refund

The cancellation request form below accepts requests using your reference or order number. Submitting the form records your request; cancellation and refunds are reviewed individually, not processed automatically.

We confirm the itemised deduction, refund amount, payment method and expected processing time by email. Refunds normally use the original payment method. Bank fees and currency conversion may affect the amount received; any known customer-borne costs are explained before processing.

Existing agreements

New rates and policies do not reprice existing orders or change previously accepted terms. Any change to an existing agreement requires your consent and must respect applicable law.
